Getting started

An admin creates your coach profile with your email. The first time you sign in with that email, your account links to it automatically — so you land in your own workspace, not a blank one.

   Sign in

   Use Coach Login in the top navigation and enter your email. If your email matches a profile an admin set up, you’re linked to it on first sign-in.

   Finish onboarding

   A short guided setup collects the basics — Name, Title, your Profile URL slug (e.g. john-doe), bio, areas of expertise, contact details, and a photo. Move through it with Next / Back and click Complete Setup.

   Wait for approval

   New profiles are created “Awaiting admin approval before going live.” You can keep building in the meantime; once approved, your page is public at /coaches/your-slug.

Your dashboard

/coach/dashboard is your home base — a snapshot of your status plus quick links into everything below.

Profile & AI personality

/coach/profile controls two things at once: the public page visitors see, and the persona your AI chat speaks with.

Your public details

Edit these field by field: Name, Title (e.g. “Strategic Business Architect”), Bio, Areas of Expertise (add as many as you like), Years of Experience, and contact info — Email, Phone, Location, and LinkedIn. Set your photo with an Image URL or by uploading a Profile Image.

Your AI personality

The personality prompt is where you describe how you coach — tone, approach, the questions you push on. It’s what makes the AI sound like you rather than a generic assistant. For example:

“I take a direct, no-nonsense approach. I ask tough questions and challenge assumptions — warm but firm. I celebrate wins but won’t let clients hide from hard truths, and I help them see how the parts of their business connect.”

Test your AI personality

Use Test Your AI Personality to run sample questions through your persona before clients ever see it. Step through with Previous / Next, run one at a time or Test All, and Save & Close when it sounds right.

AI Chat

/coach/chat is an assistant that answers in your voice and cites your own documents — so responses are grounded in your material, not the open internet.

   Start a conversation

   Type in the “Type your message…” box and send. Attach files to a message when you want the AI to consider them for that turn.

   See where answers came from

   The document sources panel shows which of your uploaded documents the answer drew on — click through to verify the grounding.

   Keep the good ones

   Conversations are saved in the sidebar. Turn a strong reply into a draft with Save Generated Article, which drops it into your content library.

   Tidy up

   Archive or Delete conversations — singly, or select several and act on them together.

Documents (your knowledge base)

/coach/documents is where you “upload and manage documents for AI context.” Everything here feeds the chat and the content tools.

   Upload a file

   Click Upload Document, give it a Document Title (e.g. “Strategy Document 2025”), and choose a PDF, Word, or text file.

   It gets read and indexed

   The file is uploaded, then summarized, then split and embedded so the AI can retrieve the right passages (retrieval-augmented generation). You’ll see success toasts as each stage completes.

   Manage the library

   Search by title, Download the original, or delete what’s stale. Empty state prompts you to “upload your first document.”

Each document shows a status as it moves through the pipeline. Only Ready documents can be used by the chat.

Chat settings

/coach/settings tunes how the assistant behaves and which knowledge it pulls from.

Content generator & library

Turn your expertise into publishable articles — grounded in your documents and written in your voice.

Generate — /coach/content

   Describe what you want

   Pick a Content Type, add a Title, and write Your Instructions (“describe what content you want to generate”).

   Generate & preview

   Generate New Content, then read it in the Preview pane. Not right? Start Over.

   Edit & save

   Edit & Save Content to refine the draft and keep it. It lands in your library as a Draft.

Manage — /coach/content-library

Every piece lives here with a status — Draft Published Archived. View, Edit, Copy, Publish, or Archive each one, and search across them.

Videos

/coach/videos is your video library — upload footage, add context, and publish the ones you want on your profile.

   Upload footage

   Upload Video (or “Upload Raw Video Footage”): provide a Title and select a file. A title and file are both required.

2. 2

   Add details

   Add a Description and Transcript for context and searchability. File size and status are tracked for you.

   Publish

   Move a video from Raw Footage → Processing → Ready, then Publish it to make it live.
